2. Hosting and server logs
This website is hosted by INFOCAL sp. z o.o. (cal.pl), ul. Jana Henryka Dąbrowskiego 77A, 60-529 Poznań, Poland, which processes data on our behalf. Poland is an EU Member State, so this hosting alone does not involve a transfer to a third country outside the EU or EEA.
When you visit the website, the server processes access data required for technical delivery, in particular your IP address, date and time, requested address, amount of data transferred, referrer (if provided), browser, operating system and access status. The purposes are delivery, stability, troubleshooting and protection against attacks. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is the secure and reliable operation of the website.
Log data is erased or anonymised once it is no longer needed for operation and security. If a specific security incident occurs, relevant data may be retained until the incident and any related claims have been resolved. Hosting backups may technically contain deleted data until the relevant backup cycle expires; cal.pl currently states up to 21 days for files and 30 days for databases.
3. Contact form and communication
When you use the contact form, we process your name, email address, preferred language, voluntary message and the package selection submitted in the background. Please do not include health data or other particularly sensitive information in the free-text field.
The information is stored in the WordPress database by Fluent Forms and sent to Anna Chalanicz through FluentSMTP using UNPOT’s own mail server for info@unpot.de. Fluent Forms is configured not to store the submitter’s IP address. A local honeypot field helps prevent automated spam; no external CAPTCHA service is used. Form analytics is disabled.
The legal basis is Art. 6(1)(b) GDPR where your inquiry concerns coaching or pre-contractual steps. For other inquiries, the legal basis is Art. 6(1)(f) GDPR and our legitimate interest in responding to your message. The privacy checkbox only confirms that you have read this policy; it is not consent to any additional processing.
Required information is necessary to assign and answer your inquiry. The form cannot be submitted without it. No automated decision-making or profiling takes place.
Email delivery is logged for troubleshooting. FluentSMTP automatically deletes these email logs after 14 days.
5. Local storage and cookies
The public website currently uses no analytics, marketing or social-media cookies and loads no Google Fonts, maps, videos or social-media widgets from external providers. All fonts are served locally by unpot.de.
Your chosen website language (German, English or Polish) is saved in your browser’s Local Storage under the key unpot-language. This is needed to preserve the language version you explicitly selected while navigating the website. Access to the device is based on § 25(2)(2) TDDDG; where the setting can be linked to an individual, the additional legal basis is Art. 6(1)(f) GDPR. You can remove the entry at any time by deleting this website’s data in your browser.
WordPress sets login and administration cookies only for authorised people who sign in to the administration area; they do not concern ordinary visitors. Since the public website does not use storage requiring consent, a consent banner is not necessary. See our Cookie and Local Storage Notice for details.
6. External links
The website contains a standard link to Anna Chalanicz’s LinkedIn profile. No LinkedIn widget is embedded, and simply visiting unpot.de does not transmit data to LinkedIn. If you click the link, you leave unpot.de and LinkedIn’s privacy terms apply.
7. Retention periods and recipients
Where an inquiry does not lead to a contract, it is generally deleted from WordPress and the active email mailbox no later than six months after the last substantive contact, unless it is specifically needed to establish, exercise or defend legal claims. If a contract is formed, necessary communication, contract and accounting data is retained for the duration of the contract and afterwards for statutory periods. Depending on the document, German tax and commercial law provides in particular for periods of six, eight or ten years.
Recipients are Anna Chalanicz and, where technically necessary, INFOCAL sp. z o.o. as hosting and email provider/processor. Data is not sold, used for advertising or disclosed to unnamed third parties unless required by law.
8. Your rights
Subject to the statutory requirements, you have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and the right to object to processing based on legitimate interests (Art. 21). You may withdraw consent at any time with effect for the future.

You may also lodge a complaint with a data protection authority. The competent authority is in particular the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia, Kavalleriestraße 2–4, 40213 Düsseldorf, www.ldi.nrw.de/beschwerde.
9. Security and updates
Data transmitted between your browser and unpot.de is protected by TLS encryption. Access controls, updates, backups and hosting security mechanisms help protect data against loss and unauthorised access. This policy will be updated if the services used or the applicable law changes.
